Overview

Aeralis uses profiles to store your preferences for email generation. Each profile has a writing style learned from your real emails, plus grounding tools that give the AI extra context.

Accessing settings

From the web dashboard

  1. Sign in at aeralis.ai
  2. Click on Profiles in the navigation
  3. Click on your profile to edit it

From the Gmail add-on

  1. Open Gmail
  2. Click the Aeralis icon in the sidebar
  3. Click the menu icon (three dots) in the top right
  4. Select Manage Profiles

Setting up a profile

1. Pick a template

Every profile starts from one of 8 templates: Customer Support, Customer Success, Sales Outreach, Executive, Recruiting, Account Management, Internal Comms, or Personal. The template sets the baseline for your profile. You can customize the name, icon, and description after picking one.

2. Teach Aeralis your writing style

This is the most important step. Forward at least 3 emails you've written to the profile's unique inbound address. Aeralis reads them and builds a description of how you write — your greetings, sign-offs, sentence structure, formality level, and word choices.

The profile stays inactive until you've forwarded 3 emails. After the analysis runs, you can:

  • Edit the style description if something doesn't look right
  • Re-analyze by forwarding more emails for a better sample

3. Configure grounding tools

Add external knowledge to your emails:

Profile management

Setting a default profile

Your default profile is automatically selected when you open Aeralis. To change it:

  1. Go to your profiles list
  2. Click the menu (three dots) on the profile you want as default
  3. Select Set as Default

Creating multiple profiles

Different contexts call for different writing styles. Consider creating separate profiles for:

  • Work - Executive template with your leadership emails forwarded
  • Personal - Personal template with your casual messages forwarded
  • Client Communications - Account Management template with your client emails forwarded
  • Logistics - Customer Support template with carrier/shipper emails, rate sheet URLs as context (see examples)
