Creating a New Profile
When you first sign up, Aeralis creates a default profile for you. You can create additional profiles for different email contexts like work, personal, or client communications.
How to Create a Profile
From the Web Dashboard
- Go to aeralis.ai/profiles
- Click New Profile
- Fill in the profile details
- Click Save
From the Gmail Add-on
- Open Gmail and click the Aeralis icon
- Go to Manage Profiles from the menu
- Click Create New Profile
- Configure your settings and save
Profile Settings
Basic Information
- Name - Give your profile a descriptive name (e.g., "Work - Client A", "Personal")
- Description (optional) - Add notes about when to use this profile
- Icon - Choose an emoji for quick visual recognition
Tone
Select the default tone for emails generated with this profile:
- Professional - Business-appropriate language
- Casual - Relaxed, conversational style
- Friendly - Warm and approachable
- Formal - Traditional, conservative language
Writing Style
Add custom instructions that shape how your emails are written. These instructions apply to every email generated with this profile.
Examples:
- "Always sign off with 'Best regards, [Name]'"
- "Keep emails concise, under 150 words"
- "Use bullet points for action items"
- "Include my job title (Product Manager) when introducing myself"
Grounding Tools
Enhance your emails with external knowledge:
- Context URLs - Add websites the AI can reference (e.g., company site, documentation)
- Google Search - Enable to include up-to-date information
- Google Maps - Enable for location-aware recommendations
- Knowledge - Reference your uploaded documents (Business plan)
Setting a Default Profile
You can set any profile as your default. The default profile is automatically selected when you open Aeralis.
- Go to your profiles list
- Click the menu (three dots) on the profile
- Select Set as Default
