Create a Profile
Creating a new profile
Profiles in Aeralis start from templates. When you create a profile, you pick one of 8 predefined templates designed for common email contexts, then customize it to fit your needs.
The available templates are:
- Customer Support - Handling tickets and customer questions
- Customer Success - Relationship management and check-ins
- Sales Outreach - Prospecting and follow-ups
- Executive - Leadership communication
- Recruiting - Candidate outreach and scheduling
- Account Management - Client relationship emails
- Internal Comms - Team and company-wide messages
- Personal - Everyday personal email
How to create a profile
From the web dashboard
- Go to aeralis.ai/profiles
- Click New Profile
- Pick a template from the list
- Customize the name, icon, and description
- Click Save
From the Gmail add-on
- Open Gmail and click the Aeralis icon
- Go to Manage Profiles from the menu
- Click Create New Profile
- Choose a template, adjust the details, and save
Activating your profile
A new profile isn't ready to generate emails yet. You need to forward at least 3 emails you've written to the profile's unique inbound address so Aeralis can learn your writing style.
- Open your profile and find the Writing Style section
- Copy the forwarding address shown there
- Forward 3 or more real emails you've sent (not received) to that address
- Aeralis analyzes your writing and builds a style description
Until you've forwarded 3 emails, the profile stays inactive. Once the analysis completes, you can start generating emails with it.

Customizing after creation
After picking a template, you can change:
- Name - Give it something descriptive (e.g., "Work - Client A", "Recruiting - Engineering")
- Description (optional) - Notes about when to use this profile
- Icon - An emoji for quick visual recognition
- Writing style description - After Aeralis analyzes your forwarded emails, you can edit the generated style description or trigger a re-analysis
Grounding tools
Add external knowledge to your emails:
- Context URLs - Websites the AI can reference (e.g., company site, documentation)
- Google Search - Include up-to-date information
- Google Maps - Location-aware recommendations
- Knowledge - Reference your uploaded documents (Business plan)
Setting a default profile
You can set any profile as your default. The default profile is automatically selected when you open Aeralis.
- Go to your profiles list
- Click the menu (three dots) on the profile
- Select Set as Default

Tips
- Create separate profiles for different clients or projects to keep context organized
- Use descriptive names so you can quickly pick the right profile
- Forward varied emails when activating a profile — mix short replies, longer messages, and different situations so Aeralis gets a complete picture of how you write
